This Privacy Notice is provided by the Parochial Church Council of The Ecclesiastical Parish of St John the Evangelist, Farsley to explain what to expect when we collect and process your personal information in accordance with the UK GDPR.

2. What is your personal data?
Personal data relates to a living individual who can be identied from that data. Identification can be by the information alone or in conjuncton with any other information in the data controller’s possession or likely to come into such possession. The processing of personal data is governed by the UK General Data Protecton Regulaton (the “GDPR”).
The categories of personal data we collect are:

- Visual images including photographs and video recordings.

We also process 'special' categories of information that may include:

In addition to personal data relating to members of the church we retain some personal data from suppliers, companies and other organisations we are in contact with including tradespeople, surveyors, architects, builders, advisers, payroll processors, financial donors and utility companies.

4. How do we process your personal data?
The PCC of St John the Evangelist, Farsley complies with its obligatons under the GDPR by keeping personal data up to date; by storing and destroying it securely; by not collecting or retaining excessive amounts of data; by protecting personal data from loss, misuse, unauthorised access and disclosure and by ensuring that appropriate technical measures are in place to protect personal data.
We use your personal data for the following purposes:
- To inform you of news, events, activities and services within the Parish and the Diocesse of Leeds.
- To administer membership records.
- To process financial donations including the processing of gift aid declarations.
- To maintain accounts and records.
- To provide outreach and pastoral care for parishioners.
- To contact you for feedback on current services, or expressions of interest in services that may be offered.
- To fundraise.
- To promote the interests of the church through advertising and social media.
- To manage safeguarding concerns.
- To apply for criminal records checks.
- To manage our employees and volunteers.
- To prevent crime (especially through the processing of CCTV images.)
- To manage church repairs and maintenance.
5. What is the lawful basis for processing your personal data?
- Consent - your data is obtained using the Data Privacy Consent Form.
- Legal obligation - we are required by law to collect and process data for weddings, funerals and baptism as well as data relating to gift aid, employment, social security, social protection law, or a collective agreement.
- Legitimate activity - we collect and process special category data as part of our legitimate activities and in our capacity as a not-for-profit body so long as it relates only to members, former members or those who have regular contact with the church, and that there is no disclosure to a third party without consent.
6. Sharing your personal data
Your personal data will be treated as strictly confidential unless there is a legitimate reason for it to be shared including:
- Sharing it with other members of the church including clergy or volunteers in order to carry out the work of the church.
- Sharing data with the diocesan authorities, bishop or other church organisations.
7. How long do we keep your personal data?
We keep data in accordance with the Church of England's Records and Information Retention Guidance which was revised in May 2026.
Specifically, we retain electoral roll data while it is stll current; gift aid declaratons and associated paperwork for up to six years after the calendar year to which they relate and parish registers (baptisms, marriages, funerals) permanently.
8. Your rights and your personal data
Unless subject to an exemption under the GDPR, you have the following rights with respect to your personal data:-
- The right to request a copy of the personal data which the PCC of The Ecclesiastical Parish of St John the Evangelist, Farsley holds about you (a Subject Access Request or ‘SAR’);
- The right to request that the PCC corrects any personal data if it is found to be inaccurate or out of date;
- The right to request your personal data is erased where it is no longer necessary for the PCC of The Ecclesiastical Parish of St John the Evangelist, Farsley to retain such data;
- The right to withdraw your consent to the processing at any time where we have obtained your consent;
- The right to request that the data controller provide you with your personal data in a structured, commonly used and machine-readable format. Also, to transmit that data directly to another data controller (in limited circumstances).
- The right, where there is a dispute in relation to the accuracy or processing of your personal data, to request a restriction is placed on further processing;
